Photo & Media Policy
Nfin8 Hearts
Effective date: August 14, 2025
Why we capture moments
We believe in celebrating the joy families create together. Photos and short videos help us:
Share the energy of our events with the community
Show potential partners what we do and why it matters
Preserve memories for participating families when possible
Where and how media is used
Images and video may appear on:
Our website
Social media channels (Facebook, Instagram, LinkedIn)
Printed materials (flyers, postcards)
Grant or sponsorship applications and reports
Local media coverage (with their own consent process)
We never sell your images to third parties.
Opting out
We respect your choice. If you do not want yourself or your child photographed or recorded:
Let staff know at check-in.
We’ll provide a wristband or sticker so photographers can easily identify your preference.
Avoid stepping into areas clearly marked for group photos or videos.
Close-up vs. crowd shots
Close-ups (recognizable faces) are only used if you have not opted out.
Crowd or wide shots may include participants as part of the scene; these are considered general event coverage.
Safety and privacy
We do not pair children’s names with their images without explicit written consent from a parent/guardian.
Any images that could cause embarrassment, discomfort, or safety concerns will be deleted upon request.
Event partners
If an event is hosted in partnership with a school, church, or other organization, their media policies may also apply. We will follow the stricter policy when there is overlap.
